Getting started
Why can I not see some sections in the sidebar?
Each account is given the sections it needs. An admin decides which ones, under Admin → Agents, by ticking them for your account. Marketing and the Sales Report hold the company's spending and profit, so they are only shown to admins and to people they have been ticked for by name.
If you need a section you cannot see, ask an admin to tick it for you. It appears the next time you sign in.
I forgot my password. What do I do?
Ask an admin. In Admin → Agents there is a key button beside each person that resets their password. Nobody, including the admins, can see the password you had before.
What is the note that popped up when I signed in?
That is an announcement from an admin, usually about something new in the dashboard. Each one is shown to you once. Press Got it, or Escape, and it will not come back.
How do I collapse the groups in the sidebar?
Click the heading of a group, such as Sales or Marketing, and it folds away. Click it again to open it. The dashboard remembers which groups you folded.
Sales report
How do I start this month's report?
- Open Marketing → Sales Report. The New month panel is already open.
- Pick the month. It is set to last month, which is usually the one being reported on.
- Choose what to start from: The default items, The lines from another month (the names come across with the amounts cleared), or Nothing, an empty report.
- Leave Add the advertising spend for that period ticked to have the month's ad and SMS costs added straight away.
- Press Create. The revenue and expense tables appear underneath.
Can the revenue come from our Excel export instead of being typed?
Yes. Under the revenue table press Import from Excel and choose the order export, as .xlsx or .csv. The dashboard finds the date, the product, the amount and the payment method by their column headings, whatever the export calls them.
Before anything is added you see a preview: how many sales it found, the total, which columns it read, and anything it left out, such as refunds. Then choose Use these as the revenue to replace what is there, or Add to the lines already here.
An older .xls file cannot be read. Open it in Excel and save it again as .xlsx.
How do the advertising and SMS costs get into the expenses?
Press Pull ad spend under the expense table. Every Meta and TikTok campaign that ran inside the report's dates arrives as its own line, named after what it advertised, and every SMS campaign sent through send.lk arrives marked SMS ·. Pressing it again corrects the amounts rather than adding the same campaign twice.
What are default items, and what is the Day box for?
Default items are costs that repeat every month, such as the Shopify subscription. Keep them once under the Default items tab and press Save list. A new month can then start with all of them, or you can add one at a time from the list under each table.
The Day is the day of the month the cost falls on. Set Shopify to 5 and it arrives dated the 5th of whatever month you are reporting on. Leave it empty and it lands on the 1st. A 31st in a shorter month becomes that month's last day.
Do I have to press Save?
No. Every line is saved as soon as you move out of it, and so are the title, the dates and the font. Anything you are still typing when you close or refresh the page is saved as the page closes. The Save button is there for when you want to be sure.
Why does the report not reopen when I refresh the page?
It is saved, and it is waiting under Saved reports. The screen starts clean on purpose, with New month open, so the next report is one click away and nobody carries on editing last month's by accident. Press Edit on any saved month to open it again.
I pressed Clear lines by mistake. Can I get them back?
Yes. After a clear, a Put the lines back button appears beside Clear lines. It stays there even if you leave and come back later, and one press returns every line exactly as it was.
How do I export it as a PDF, or print it?
Press Export PDF to save it to your downloads, or Print to send it to a printer. Both produce the same single A4 page. Choose a typeface under Font first if you want one other than the default; the page changes as you pick it.
Why is some of the revenue missing from the weekly chart?
A line only goes into a week when its date is inside the report's period. A note under the chart says how much had no such date. Check the date on those lines, or the report's From and To dates.
Why do some small products show up as "Other" on the pie chart?
So the report always fits on one page. When there are more than six products or costs, the smallest are gathered into one Other slice. The totals are not affected, and every line is still in the tables.
Social and ads
How often are the numbers updated?
Every six hours. The time of the last update is shown at the top. An admin can press Refresh to fetch them straight away.
How do I look at one month, or a particular week?
Use the 7, 30 or 90 day buttons, or type the dates you want into the From and To boxes. Every card, chart and campaign table then shows exactly those dates.
Why are the amounts in rupees when the ad account pays in dollars?
An admin sets the currency and the rate under Connections → Money, so every amount can be read and added up in one currency. The original amount is shown when you hover over a figure.
Can I get the campaign list into Excel?
Yes. Press Export above a campaign table. It downloads a file that opens in Excel, for the dates you are looking at.
Why does the SMS Campaign tab show nothing when we have sent campaigns?
send.lk only reports the messages that were sent through its API. Campaigns sent from the send.lk website itself are kept elsewhere on their system, and on our plan there is no way to read them back. The number of messages left on the account is live and correct. Messages sent through the API do appear, together with their cost.
Leads and quotations
How do I make a quotation?
Open Sales → Price List and add the items and quantities to a quotation, or press Start a blank quotation. The letterhead, terms and validity date come from the company settings, and your own name and email go on it as the person who prepared it. Then Download PDF, open it in Word, or Print it. Edit this quotation takes you back to change it.
How do I update the price list?
Upload the supplier's PDF price list under Sales → Price List. Files up to 200 MB are accepted. The prices are read out of it, and you check them before they are saved.
Who can delete a lead?
Only an admin. Everyone can update a lead's status, mark it contacted and convert it, but deleting is kept for admins, because a lead deleted by mistake is a customer lost.
Chats
What do Unassigned, Opened and Solved mean?
- Unassigned: a customer is waiting and nobody has taken the chat yet.
- Opened: someone has taken it and is dealing with it.
- Solved: it has been answered and closed.
My Claims shows only the chats you have taken yourself.
How do I take a chat?
Open it from Unassigned and claim it. It moves to Opened and shows as yours, so nobody else picks up the same customer. Mark it solved when you are done.
When something is wrong
A button does nothing, or a page looks out of date.
Refresh the page first. The dashboard is updated regularly, and a refresh loads the latest version. Your work is saved as you go, so nothing is lost by refreshing.
A number looks wrong. Who should I tell?
Tell an admin, and say which screen, which dates and what you expected to see. A screenshot helps. Every figure on the dashboard can be traced back to where it came from, so it is usually quick to find.
